Using the Calendar

View and manage appointments, then publish booking availability with scheduler embeds

Calendar Views

SupaBook's calendar helps you manage bookings, deadlines, and appointments in one place.

  1. Access Calendar

    Click 'Calendar' in the sidebar.

  2. Switch views

    Toggle between Month, Week, and Day views.

  3. Create event types

    Open Scheduling to create event types, choose meeting location type (Google Meet, Phone, In-person, or Custom), set phone requirements or organizer callback number when needed, optionally add multiple location choices, then configure availability and invitee questions.

  4. Set out-of-office availability

    Open the event type's Availability tab. Turn on Pause scheduling to temporarily offer no times, or select Blocked dates for vacation, holidays, and other unavailable days. Save the scheduler when finished.

  5. Embed booking on your site

    Copy the scheduler embed snippet (widget script + sb-scheduler container with your event public ID in the class) and paste it on your website. New bookings sync into Studio Calendar automatically and sync to connected Google or Microsoft calendar providers.

  6. Manage booked meetings

    Open Scheduling to review upcoming bookings. Select a booking and choose Propose new time, then enter a date, time, and optional note. The invitee can accept that time or choose another available opening. To cancel instead, choose Cancel meeting, add the required cancellation reason, and confirm. The reason is included in the cancellation email.

  7. Review the discovery brief

    When a confirmed booking is linked to a lead and Prepare discovery calls is active, open the booking in Scheduling. Review the company context, previous interactions, call goal, recommended questions, missing details, risks, and opportunities.

Tips

  • Color-code events by type for easy visualization
  • Set reminders to never miss important dates
  • Use blocked dates for individual days away. Use Pause scheduling when every date should be unavailable until you return.
  • If you use Google Meet location type, connect your studio Google calendar first so meeting links can be generated from that account
  • Connected Google and Microsoft calendars send invite and cancellation updates to invitees. If no calendar provider can send the update, SupaBook sends a fallback email using the standard lifecycle email design.
  • Invitees receive a day-before reminder email for confirmed scheduler bookings. You can turn this off in Settings → Preferences → Reminder Preferences.
  • If a discovery brief is missing, confirm the booking is linked to a lead and the Prepare discovery calls skill is active in AI Operations.
  • Use HTTPS for external widget script links so embeds load reliably in production
