Setting Up Client Portals
Client portals give each client secure access to the work and account information you share with them. You can send portal invites directly from the client page or when sending documents.
Send portal invite from the client page
Open the Clients page and click the Send Portal Invite action on the client's row or card. You can also open the client record and use the Send Portal Invite button in the Portal Access section.
Send portal invite when delivering documents
When sending a super file, proposal, or invoice to a client, you have the option to include a client portal invite.
Client sets up access
The client receives an email with a link to set their password and access the portal.
Tips
- You can resend the portal invite if it expires
- Portal links can be regenerated if compromised
- There is no separate Enable Portal button. Portal access is granted by sending an invite
What Clients See
The portal opens on a focused Home screen instead of a long dashboard. It shows the client's most important next steps first and keeps secondary information in predictable sections.
Start with Needs your attention
Action cards surface proposals to review, contracts to sign, invoices to pay, Smart File updates, and appointments that are coming soon. Each card has one clear next action.
Open project details
Projects shows the current client-facing phase and opens a simpler project view with Overview, Files, and Messages. Project dates, progress, timeline, and scheduling stay together in Overview.
Review documents and payments
Documents contains proposals, contracts, and Smart Files. Payments places open invoices first and keeps paid invoice receipts available from the same section.
Use More for supporting tasks
More contains appointments, scheduling, shared files, and account options. On smaller screens, Home, Projects, Documents, Payments, and More appear in the bottom navigation.
Request new work or view older records
On the studio address or connected domain, Request new work opens the public Booking Page. When a section contains more records than the first page, the client can select Load more to continue without losing their place.
Tips
- Public proposal, contract, Smart File, and payment links continue to work when sent directly to a client
- Clients only see information shared with their own portal account
- Keep project phases and document statuses current so the next action stays clear
