Managing Multiple Contacts for One Organization

Store one organization as the client and add multiple people under it

How Organization Contacts Work

Choose Organization when adding a client, then keep each person from that company under the same organization record. The organization stays together while every contact remains available.

  1. Go to Clients

    Open Clients from the sidebar.

  2. Choose Organization

    Click Add Client, choose Add Manually, then select Organization as the client type.

  3. Enter the organization

    Enter the company or organization name, then add the primary contact's details.

  4. Add each person

    Use Add another contact for each additional person's name, email, phone number, and job title.

  5. Create and manage contacts

    Create the organization. The first person is the primary contact. From the Clients list, open the organization's actions and choose Manage contacts to add, edit, remove, or choose a different primary contact.

  6. Edit the organization

    Open the organization's actions and choose Edit organization to update its name, website, industry, address, or notes without changing its contacts.

  7. Assign an existing client

    For a person saved separately, open their actions, choose Assign to organization, search for the organization, and confirm. Their existing projects and history stay attached to their record.

Tips

  • Do not create a separate client record for every person at the same company
  • Keep one organization record and manage the people inside Manage contacts
  • Use the primary contact for the main email and phone tied to that client record
  • Manage contacts includes the original primary contact, newly added contacts, and existing clients assigned to the organization
