Building Email Templates

Create templates for frequently sent emails, then customize the automatic messages sent when a lead or client has not replied.

  1. Go to Email Templates

    Click Email Templates under the Templates section in the sidebar.

  2. Create template

    Click 'New Template' and give it a descriptive name

  3. Write content

    Compose your email with merge fields for personalization

  4. Add merge fields

    Insert {{client_name}}, {{project_name}}, etc. for auto-fill

  5. Save and use

    Select template when composing emails

  6. Edit automatic follow-ups

    Under Automatic follow-up templates, edit each inquiry or proposal step, its delay, subject, and message.

  7. Choose thread behavior

    Leave Reply in the same thread enabled to continue the original Gmail or Outlook conversation when available.

  8. Enable delivery

    Turn on Automated Follow-ups in Settings. The Super File send screen then lets you enable or disable follow-ups for that send.

  9. Customize the workflow rules

    Open Workflow Automation and use Proposal Follow-up: Not Viewed. Change the delay, proposal condition, email template, same-thread setting, or approval requirement.

  10. Review funnel coverage

    Open Reports to compare proposals sent, viewed, accepted, and paid, then review the bounded list of proposals needing attention.

Tips

  • Create templates for follow-ups, project updates, and thank-you messages
  • Test merge fields with sample data before using with clients
  • Follow-ups stop when the recipient replies. Proposal follow-ups also stop after signing, payment, closure, cancellation, or expiration.
