Setting Up Payments

Connect your bank account and configure how you get paid

Step 1: Add Your Bank Details (Required Before Sending Invoices)

Before you can send invoices and accept payments, you must connect your bank account. SupaBook partners with Stripe for secure payment processing — your financial data is handled entirely by Stripe and never stored on our servers.

  1. Go to Settings

    Click the Settings gear icon in the sidebar or bottom menu.

  2. Open the Company tab

    Click the Company tab at the top of the Settings page.

  3. Click Bank Details in the left sidebar

    In the Company section sidebar, click 'Bank Details'. This is where you connect your bank account for payouts.

  4. Click 'Add Bank Account'

    This opens Stripe's secure onboarding form. You'll need: your legal business name & type, EIN (or SSN for sole proprietors), business address & phone number, and your bank account routing & account number.

  5. Complete the Stripe onboarding

    Fill in all required fields in the Stripe form. If you don't have a Stripe account yet, one will be created for you automatically. For companies, you may also need to provide info about owners with 25%+ ownership.

  6. Verify your account

    Once complete, you'll see your linked bank account with a 'Payouts Enabled' badge. If Stripe needs additional verification, you'll see a notification banner with what's required.

  7. Use in-app remediation for future verification updates

    If Stripe later requests updates, go to /connect/remediation to resolve requirements in-app. In Stripe Connect settings, set your notification banner Site Link to https://<your-app-domain>/connect/remediation so remediation links route back to your platform.

Tips

  • You must complete this step before sending your first invoice — clients can't pay until your bank is connected
  • Have your bank routing and account numbers ready before starting
  • You can edit your bank details anytime by clicking 'Edit Bank Details' in the same section
  • Stripe remediation links are generated in Stripe Dashboard only and remain active for 90 days
  • If Stripe still needs information after onboarding, SupaBook sends a daily reminder email while action-required verification items remain open

Important notes

  • Do not send invoices before completing bank setup — payments will fail if your account isn't connected
  • Make sure all Stripe verification requirements are resolved to avoid payout holds

Step 2: Set Client Payment Methods

Choose which payment methods your clients can use when paying invoices. Each method has different processing fees and settlement times.

  1. Go to Settings → Company → Client Payment Methods

    In the Company tab sidebar, click 'Client Payment Methods'.

  2. Enable card payments

    Toggle on card payments (2.9% + 30¢ per transaction on standard US pricing).

  3. Enable ACH Bank Transfer (optional)

    Toggle on ACH for lower fees (0.8%, max $5 per transaction). Note: ACH takes 7-8 business days to settle.

  4. Enable Card-on-File / Autopay (optional)

    Toggle on Card-on-File / Autopay so clients can save their card and enable automatic payments on future invoices.

  5. Enable Instant Deposits (optional)

    Toggle on Instant Deposits (additional 1% fee) so credit card payments arrive in your account within minutes instead of the standard 2-day payout.

  6. Pass processing fees to client (optional)

    Enable this to add a surcharge to invoices so you receive the full invoice amount. Note: surcharges are prohibited in Connecticut and Massachusetts.

Tips

  • Most businesses enable Visa/Mastercard at minimum — it's the most common payment method
  • ACH is great for large invoices since the fee is capped at $5
  • Card-on-File is ideal for recurring clients with monthly invoices
  • Enable Instant Deposits if you need faster access to funds (1% fee per deposit)

Step 3: Configure Payouts & Instant Deposits

Control how and when you receive your money. Set your automatic payout schedule and optionally request instant payouts to an eligible payout destination.

  1. Go to Settings → Company → Payouts & Instant Deposits

    In the Company tab sidebar, click 'Payouts & Instant Deposits'.

  2. Review your balance

    At the top, you'll see three balances: Available (ready to pay out), Pending (being processed by Stripe), and Instant Available (eligible for instant payout).

  3. Set your automatic payout schedule

    Choose how often payouts are sent to your bank: Daily, Weekly (pick a day), or Monthly (pick a day 1-28). Daily is the default.

  4. Set up instant payouts (optional)

    To get paid instantly, add an eligible payout destination (debit card or supported bank account). Then click 'Request Instant Payout', enter the amount, review the 1% fee, and confirm. Funds arrive in ~30 minutes.

  5. Manage payout destinations

    Click 'Manage All Payout Settings' to add or remove bank accounts and debit cards, or change your default payout destination.

Tips

  • Daily payouts give you the fastest access to funds at no extra cost
  • Instant payouts require an eligible payout destination and charge a 1% fee
  • You can have multiple payout destinations but only one default
  • Check your Pending balance to see how much is processing — it usually takes 2 business days

Important notes

  • Instant payouts have a 1% fee — consider if the speed is worth the cost for your business
  • Payout schedule changes take effect on the next payout cycle
