Sending Super Files

Send your templates to clients with automatic personalization, then publish updates as project details change.

  1. Choose template

    Go to Templates and select the file you want to send

  2. Select client

    Choose which client to send to

  3. Personalize

    Review auto-filled merge fields and add custom notes

  4. Review invoice billing details

    On an invoice page, Bill To defaults to contact, organization, street, city and postal details, email, then phone. Edit the multiline block directly if you need a different line order.

  5. Choose the email conversation

    If a matching Gmail or Outlook conversation exists, choose it to send the Super File as a reply. Otherwise, start a new email.

  6. Send

    Click send to deliver through the selected connected mailbox.

  7. Publish updates as needed

    If details change later (including invoice amounts), open the sent Super File and publish updates.

  8. Choose client notification

    During publish, decide whether to notify the client immediately or keep the update silent.

  9. Track remaining balance

    If a client already paid and invoice totals increase, prior payments stay applied and only the remaining balance updates.

Tips

  • Include a personal note to increase engagement
  • Existing-thread delivery requires the connected Gmail or Outlook mailbox that owns the conversation
  • Set reminders to follow up if clients haven't viewed
  • You do not need to duplicate the Super File to adjust invoice totals after payment
