Understanding Roles

Roles set a baseline level of access. Permission Sets let you fine-tune what a team member can see and do, especially for sensitive areas like financials and company settings.

  1. Owner

    Full access to everything, including billing and account deletion.

  2. Admin

    Full access to features, can manage team members, but no billing access.

  3. Editor

    Access to core work areas like leads, clients, projects, and tasks, with limited admin/settings access by default.

  4. Assistant

    Lightweight access for support roles. Typically used for scheduling, project visibility, and task execution without admin or financial access.

  5. Custom

    Use Permission Sets for fine-grained access control (what they can view vs edit) across dashboard, financials, company settings, and more.

Tips

  • Only give Admin access to people who need to manage the team
  • Use Permission Sets to hide financial amounts (quotes, deposits, totals) from contractors and external collaborators
  • Review permissions periodically to ensure they're appropriate
