Weddings don't reschedule easily, which makes a clear video contract more important than almost any other event type — coverage hours, backup plans, and delivery timelines all need to be locked down in writing. This template is built specifically around the one-day, non-negotiable-date nature of wedding video work.

Wedding Video Contract Template

1. Scope of Work

Service Provider will provide wedding videography coverage on [Wedding Date] at [Venue(s)] for up to [X] hours, covering [getting ready / ceremony / reception — list agreed moments].

A second shooter is [included / available as an add-on for $X] and should be named here if applicable.

Coverage outside the agreed hours (extra hours, additional locations, rehearsal dinner) is billed at $[X]/hour and must be confirmed in advance where possible.

2. Engagement Type & Independent Contractor Status

This engagement is (check one and delete the other): [ ] Direct engagement — Service Provider is contracted directly by Client, the end recipient of the work, with no other business acting as an intermediary; or [ ] Subcontracted engagement — Service Provider is engaged by [Hiring Business/Agency/Production Company Name] ("Hiring Party") to perform work on behalf of Hiring Party's own client. Where subcontracted, Service Provider's contractual relationship is with Hiring Party only, and Hiring Party remains solely responsible for its own agreement with the end client, including that client's payment obligations.

Service Provider is an independent contractor, not an employee, partner, or agent of Client or Hiring Party. Service Provider is responsible for their own taxes (including self-employment tax), insurance, equipment, and business licensing. Nothing in this agreement creates a joint venture, partnership, or employment relationship, and Service Provider is not entitled to employee benefits of any kind.

Service Provider controls the manner and method of performing the work and may, where subcontracted, be identified to the end client as the person performing the work, subject to any confidentiality or non-disclosure terms separately agreed with Hiring Party.

3. Payment Terms

Total package price: $[Amount]. A [X]% non-refundable deposit is due at signing to reserve the wedding date; remaining balance is due [X] days before the wedding.

Because wedding dates cannot be resold easily on short notice, the deposit remains non-refundable regardless of cancellation reason.

4. Cancellation & Rescheduling

If Client cancels more than [X] days before the wedding, only the deposit is forfeited. Inside [X] days, [X]% of the total fee is owed due to lost booking opportunity.

If Service Provider becomes unable to shoot due to illness or emergency, a qualified backup videographer from their network will be provided, or the deposit will be fully refunded if no backup is available.

Postponements (date changes) are accommodated once at no fee, subject to availability.

5. Deliverables & Usage Rights

Client will receive a highlight film ([X]-[X] minutes) within [X] weeks, and a full ceremony/reception edit within [X] weeks.

Client receives a personal-use license to share and print the final films. Service Provider retains raw footage and the right to use final edits in their own portfolio and marketing unless Client requests otherwise in writing.

This package includes [X] round(s) of revisions on the highlight film.

6. Liability, Indemnification & Limitations

Service Provider is not liable for missed moments due to venue restrictions, officiant rules, poor lighting conditions, or acts outside their control, and will communicate any known restrictions to Client in advance where possible.

Service Provider carries liability insurance and will provide a certificate of insurance if required by the venue.

Where this engagement is subcontracted through a Hiring Party, indemnification and insurance obligations run between Service Provider and Hiring Party as named in Section 2; Service Provider has no direct contractual relationship with, and assumes no liability toward, the end client unless separately agreed in writing.
